About The Role

We are seeking a highly organized and proactive Administrative Assistant to support our Distributed Generation Division within the Energy Group. This role is vital in facilitating smooth communication and coordination across various teams, including office staff, field personnel, vendors, and general contractors. The successful candidate will assist with a variety of administrative functions, including managing project documentation, scheduling, and logistical support. This position offers a unique opportunity to gain industry-specific knowledge, develop professional skills, and contribute to meaningful energy projects such as solar, battery storage, substations, EV charging stations, microgrids, and converter stations.

Qualifications

  • High School Diploma or GED required
  • Minimum of two (2) years of administrative experience, preferably in the construction industry
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills
  • Excellent communication skills and attention to detail
  • Ability to work efficiently in a fast-paced environment and handle multiple priorities
  • Authorized to work in the United States (no sponsorship available)

Responsibilities

  • Assist in coordinating project start-up and close-out activities, including documentation and communication
  • Manage contract routing, tracking project schedules, and maintaining project files and logs
  • Coordinate meetings, travel arrangements, and catering for project teams
  • Handle documentation such as proposals, bid presentations, pre-qualifications, change orders, submittals, RFIs, and work orders
  • Support the preparation and distribution of project-related correspondence and reports
  • Perform general administrative tasks such as copying, scanning, and faxing
  • Maintain organized records to ensure easy retrieval of project documentation and compliance
  • Act as a liaison between office staff, field teams, vendors, and contractors to facilitate effective communication
