Executive Office (Business Operations)

Reports to: Chief of Staff

Works alongside: Strategy Ops (new), and the existing Comms/Marketing function for messaging support

Location: Remote-friendly within APAC-compatible timezones; Singapore or Hong Kong HQ a plus

Type: Full-time, senior individual contributor, with a path to expand into Scale Operations

Why this role exists

Reap is scaling from ~300 people toward 400 to 500, through a Payward acquisition and challenging targets that rewards fast, reliable execution. At that scale, two things quietly break unless someone owns them: how information lives (so it can be trusted and found) and how information travels (so people know what's happening, why, and what they need to do).

Today, knowledge is fragmented across Notion, Slack, docs, and people's heads. Decisions and changes do not reach everyone consistently. People are overwhelmed by noise yet short of the answer they need, and our AI systems are only as reliable as the source material they read.

This role owns both halves: the system that makes Reap's knowledge trustworthy, findable, and AI-ready, and the communication and change management that makes new information land and change behavior. Reap already has the cultural foundation (a memo culture, a single source of truth, monthly General Updates). Your job is to turn it into a durable, largely self-running operating system. This is not documentation admin and not a pure comms job. You are the steward of how Reap thinks, knows, and talks to itself.

The Reap-wide Information Architecture initiative is already approved. You inherit that mandate and build it for the whole company.

What you'll own

  • The single source of truth. Own the central, owner-tagged Reap Knowledge Base and its taxonomy, ownership model, and status controls, and own how people and AI agents find the right, current answer fast.
  • The unified changelog and definition-of-done. Run one structured feed of material changes, wired to communication and built to be self-enforcing through automation and freshness signals rather than manual chasing.
  • Internal communications and change management. Own the company-wide communication rhythm and the change management that makes new information stick. Comms/Marketing can coach the messaging craft, so you need to be a strong writer and persuasive operator, not a career communicator.
  • Notion and Slack redesign. Bring clear structure, ownership, access rules, and standards to where the company works.
  • AI as the engine. Deploy and use AI to build, run, and maintain the system, and keep the source layer reliable enough to ground Lorikeet and internal agents. AI does the heavy lifting; named humans own correctness.
  • Cultural guardian. Protect how Reap writes, decides, and shares as it scales and globalizes.

Growth path

This role sits in Business Operations alongside Strategy Ops, with a clear path to expand into Scale Operations: removing cross-functional operating blockers, redesigning workflows, and standardizing how regions work. Together with Strategy Ops, the goal is to make Reap a well-oiled machine. We want someone with the range to grow into that broader operating remit.

What success looks like (6 to 12 months)

  • The Reap-wide knowledge and communication system is live and in real use across the whole company, not as a pilot.
  • People can clearly say what the priorities are, what recently changed, and where to find answers. The "I didn't know" and "where do I find X" problems are largely gone.
  • A trusted company-wide communication rhythm is running and acted on, and major changes land with their context intact.
  • The unified changelog is operating company-wide and keeps the knowledge base and downstream teams current.
  • AI is grounded in reliable source material, with a measurable drop in stale or unsupported Lorikeet answers, and stale or ownerless pages trending toward zero.
  • The system runs largely on its own through automation, not through someone chasing people.

Who you are

Must-have

  • You have built a company-wide knowledge or operating system before, end to end, and driven its adoption. You are not learning this for the first time here.
  • You thrive in high uncertainty with little guidance. This is a new capability at Reap, so you will define it without a playbook or examples to copy.
  • You come from a fast-changing environment (startup, scale-up, or a demanding tech or consulting role) and operate at that pace. This is not a fit for someone shaped by slow, process-heavy corporate settings.
  • You are a systems thinker who can design taxonomy, ownership, and operating cadence that survive scale without overfitting to one team.
  • You build with AI: you can deploy and use AI tools to build, run, and maintain a system like this, not just talk about it.
  • You are an excellent writer and a persuasive operator who drives change across functions without formal authority.

Experience matters less than evidence. Roughly 5 to 10 years is plenty; what counts is that you have genuinely done this, and the role should still stretch you.

Nice-to-have

  • Business operations, chief-of-staff, or ops-excellence experience, and appetite to grow into Scale Operations.
  • UX information architecture, content design, or internal-tools background focused on findability.
  • Internal communications and change management across distributed, international teams.
  • Fintech, payments, or another regulated, sensitive-information environment.

What this role is not

  • Not a documentation clerk who manually chases people for updates. The system is built to be self-enforcing, and you own its design and health.
  • Not the owner of every team's facts. Domain owners own their facts; you own the architecture, standards, communication, and flow.
  • Not a central PMO that runs every project.
