For more than 10 years, Fluid Events has been creating standout conferences, galas, and fundraising events for nonprofits across North America. We produce events that raise millions of dollars for important causes while delivering exceptional experiences for guests, sponsors, and stakeholders. We’re growing and looking for an Event Coordinator who thrives on details, loves organization, and enjoys the controlled chaos that comes with delivering incredible events.

What

You’ll Do

  • Own the Numbers
    :
    Track budgets, invoices, purchase orders, and reconciliations; monitor event expenses and ensure budgets stay on track; help manage financial details across multiple projects.
  • Manage Vendors & Logistics
    :
    Source suppliers, rentals, venues, and event materials; request quotes and negotiate pricing; track deliverables, timelines, and deadlines; coordinate production and event logistics.
  • Support Creative Development
    :
    Assist with client presentations and proposals; research trends, activations, entertainment, and event experiences; gather inspiration from social media and industry events; contribute ideas during planning and brainstorming sessions.
  • Event Execution
    :
    Support onsite event delivery; coordinate vendors, staff, and logistics during events; assist with load‑in, event operations, and load‑out; remain calm and solutions‑focused when challenges arise.
  • Use AI to Work Smarter
    :
    Leverage tools like ChatGPT, Claude, Gemini, and others to improve efficiency; help streamline processes and reduce administrative workload; look for ways technology can improve operations.
