About the opportunity:

We are looking for an entrepreneurial Executive Assistant based in Florianópolis to work directly with the founder. You'll be the operational backbone of a fast-moving AI startup — managing priorities, coordinating projects, and ensuring that ideas move from concept to execution with quality and speed.

This is not a traditional EA role. You won't just manage calendars and inbox. You'll be a thought partner, project driver, and creative contributor who helps shape how things get done.

What you’ll be working on:

  • Manage the founder's schedule, communications, and priorities across multiple time zones and project areas.
  • Coordinate and track projects from kickoff to delivery, ensuring deadlines and quality standards are met.
  • Prepare briefings, decks, and visual materials — your design sense will directly shape how our work is presented internally and externally.
  • Act as a liaison between the founder and internal teams, external partners, and stakeholders.
  • Help research, organize, and synthesize information to support fast decision-making.
  • Take ownership of ad-hoc initiatives — from planning an offsite to sourcing a vendor to drafting a proposal.

Who will you be working with?

  • The founder — daily, as your primary partner.
  • All internal teams: engineering, product, operations, and people.
  • External partners, vendors, and stakeholders across multiple countries and time zones.
  • A multilingual environment — Spanish, Portuguese, and English in regular use.

What challenges will you face?

  • Priorities shift fast and structure is often minimal — you'll need to decide what matters, not just what's next.
  • Absorbing context quickly and triaging intelligently to protect the founder's time without becoming a bottleneck.
  • Holding ambiguity and making judgment calls with incomplete information.
  • Switching between wildly different types of work — from project roadmaps to sourcing a vendor in a country you've never worked in.
  • Maintaining quality and consistency across all of it.

About you:

  • Fluent in Spanish, Portuguese, and English (all three required).
  • Entrepreneurial mindset — you take ownership, move fast, and figure things out with limited structure.
  • Strong aesthetic taste and design sensibility — you care about how things look and feel.
  • Project management experience or background.
  • Proactive, resourceful, and comfortable with ambiguity and evolving priorities.

Bonus:

  • Experience in a startup or high-growth environment.
  • Background in design, architecture, or related creative fields.
  • Familiarity with AI tools and no-code platforms.

Additional Info:

  • Full-time, based in Florianópolis.
  • Compensation commensurate with experience.
