Executive Assistant to Founder & Operations at Early-stage, Mission-driven Startup Jobs in New York, United States at Bloom Talent

Title: Executive Assistant to Founder & Operations at Early-stage, Mission-driven Startup

Company: Bloom Talent

Location: New York, United States

Early-stage, seed-funded startup on a mission to build cleaner alternatives to high-exposure everyday consumer products is looking for an Executive Assistant & Operations partner to support the Founder/CEO. With early product-market traction and an ambitious roadmap ahead, this is a tight-knit team of 5 that genuinely cares about what they’re building — mission-driven, craft-obsessed, and growing fast. The role spans executive support, office operations, HR/people ops, and whatever else it takes to keep things moving. Someone who thrives in startups, brings a do-whatever-it-takes attitude, and takes pride in getting things done end-to-end. In-office 5 days/week in New York City. 120-170K+ DOE + equity and generous benefits.

Responsibilities:

  • Own the CEO's calendar end-to-end, proactively scheduling meetings, managing shifting priorities, catching conflicts before they happen, and ensuring he is always prepared and where he needs to be.
  • Coordinate travel for the CEO, handling everything from booking flights and accommodations to building out detailed itineraries.
  • Manage day-to-day office operations, including ordering supplies, managing vendors, maintaining the physical space, and building out new processes as the company grows.
  • Own HR and people operations, including onboarding new team members and contractors, managing benefits, processing invoices and bill payments, and keeping all administrative functions running smoothly.
  • Serve as the operational point of contact across the company's external ecosystem, including the branding agency, production partners, and contractors, building a strong mental map of who does what and keeping all relationships moving.
  • Take ownership of a near-term operational project involving outbound calls to retrieve customer information, working through an established process.
  • Support team members with ad hoc logistics, including helping new hires relocate to New York and being looped in on payments and invoices from across the team.
  • Coordinate team events, outings, and regular retreats, taking full ownership of logistics from start to finish.

Qualifications:

  • Previous experience as an Executive Assistant, Operations, or similar role in a startup, VC, or supporting UHNW, with a real understanding of what it means to support a founder and build alongside a company that is still finding its shape.
  • Extremely detail-oriented and reliable, with a strong instinct to follow through on every task end-to-end without needing to be reminded or checked in on.
  • Outgoing and socially fluent, with the ability to build quick rapport across a wide range of personalities, from vendors and external partners to team members and anyone else who walks through the door.
  • Persistent and steady under pressure, with the ability to push through roadblocks calmly and keep moving forward when things don't go as planned.
  • Comfortable operating without a rigid job description, bringing a flexible mindset and a willingness to step into whatever needs to get done.
  • Genuinely mission-driven, with a real connection to what the company is building and an appreciation for work that means something.
  • High taste and genuine curiosity about well-made consumer products, with an appreciation for craftsmanship and intentional design.
  • Familiarity with HR and operations tools; experience with Rippling or similar platforms is a bonus.
