About the Role

We are looking for an exceptional Executive Assistant to partner directly with our founder. This is not a traditional EA role. The person who has held this seat for the last 12 years has been the connective tissue of the business — running point on everything from the founder's calendar and inbox to invoicing, HR touchpoints, client communications, and the dozens of moving pieces that keep an agency humming.

She is moving on to an incredible opportunity, and we are looking for the right person to step into one of the most interesting seats in the industry. You will have a front-row view of how world-class brands are built, direct access to the founder, and ownership of the systems that keep the business running.

This role is right for someone who thinks like an operator, executes like a professional, and carries themselves with the discretion and judgment of a chief of staff.

What You'll Own

Executive support

  • Manage the founder's calendar, inbox, and travel end-to-end
  • Triage incoming communication — decide what needs the founder, what needs you, and what can wait
  • Prepare the founder for every meeting: agendas, briefings, context, follow-ups
  • Anticipate needs before they are asked

Agency operations

  • Keep the founder aligned with the rhythm of the agency — pitches, production cycles, client deliverables, key milestones
  • Coordinate across creative, account, and production teams on the founder's behalf
  • Track action items and commitments across client and internal work
  • Be the trusted point of contact for clients, partners, and senior collaborators

Finance, HR, and administration

  • Manage invoicing, expense tracking, and vendor payments
  • Support HR touchpoints — onboarding, scheduling, light coordination with payroll and benefits
  • Maintain key documents, contracts, and records with discretion
  • Own the small operational decisions that add up to a well-run business

Special projects

  • Help drive personal and professional projects forward — research, planning, vendor management, follow-through
  • Build and refine the systems, tools, and workflows that scale the founder's time
  • Bring AI and automation into the day-to-day where it makes the work better and faster
  • What We're Looking For

    • 5+ years of senior executive support experience, ideally supporting a founder, CEO, or principal
    • Agency experience — you understand the pace, the client dynamics, the creative cycle, and the way agency life actually works
    • Brand fluency — comfort interacting with senior brand-side stakeholders and the ability to represent the founder with polish
    • Business cycle literacy — you grasp how pitches turn into projects, how projects turn into invoices, and how seasonality and client rhythms shape the year
    • Technology-savvy and AI-curious — fluent in Google Workspace, calendar and travel tools, expense and invoicing platforms, and quick to pick up new tools; ideally already using AI to be 10x more effective
    • Exceptional written and verbal communication — you write the way the founder would want to be represented
    • Discretion and judgment — you will see and handle sensitive information; trust is non-negotiable
    • Proactive, resourceful, and self-directed — you do not need to be managed; you find a way
    • Calm under pressure — agency life has surges, and we need someone whose temperament holds steady
  • Nice to Have

    • Existing relationships in the LA creative and brand community
    • Prior chief-of-staff exposure or scope creep into operations
    • Light project management chops (Asana, Notion, Monday, etc.)
    • Travel coordination experience, including international

    Logistics

    • Location: Remote, with a strong preference for someone based in Los Angeles for occasional in-person work, meetings, and events
    • Schedule: Standard business hours with the flexibility agency life occasionally requires
    • Compensation: Competitive base salary plus benefits, commensurate with experience
    • Start date: As soon as possible
