Executive Assistant Jobs in New York, NY at Robert Half

Title: Executive Assistant

Company: Robert Half

Location: New York, NY

Robert Half is partnering with an established media agency in Midtown Manhattan to hire an Executive Assistant that will support their founder and CEO. This is a high-trust, high-visibility role for someone who has genuinely mastered the EA craft. The CEO is a founder who built this company from the ground up and has high expectations, though you may not always hear them stated directly. He moves at his own pace, dislikes unnecessary meetings, and rewards people who learn to anticipate rather than wait to be told. The culture is creative, casual, and fast-moving. No suits, no unnecessary formality. The people who thrive here are socially sharp, bring strong judgment to everything they touch, and know how to read a room.

Responsibilities

  • Own the CEO's calendar end to end, including making independent judgment calls on what earns his time, what can be moved, and what should be declined
  • Manage all domestic and international travel from start to finish: flights, hotels, ground transportation, detailed itineraries, and real-time problem solving when plans change
  • Prepare briefing documents, meeting agendas, and supporting materials so the CEO walks into every room fully prepared
  • Draft and send correspondence on behalf of the CEO to senior external contacts, including C-suite executives, board members, and high-profile industry leaders; flawless grammar and attention to detail are non-negotiable
  • Coordinate and organize high-level client dinners and entertainment at top-tier NYC restaurants, maintaining a strong working knowledge of the city's best venues
  • Anticipate needs before they are voiced and keep deliverables moving without being asked
  • Handle all sensitive matters with complete discretion; this is a high-trust seat and that standard never wavers
  • Serve as backup support to the President as needed, adapting quickly to a different working style and set of priorities
  • Remain accessible and available even during off-hours when the CEO is traveling or entertaining

Qualifications

  • 8+ years of Executive Assistant experience, with meaningful time directly supporting a CEO or equivalent-level executive
  • 5 days per week onsite in Midtown Manhattan; this is a firm requirement
  • Comfortable incorporating AI tools into daily work, with the judgment and skill to review, revise, and own everything that goes out under your name
  • Exceptional written and verbal communication skills; you are as comfortable emailing the CEO of a Fortune 500 company as you are chatting with a junior colleague
  • High emotional intelligence and strong instincts for reading people, situations, and unspoken expectations
  • Proven ability to work independently and manage competing priorities without losing composure when things shift
  • Deep familiarity with New York's restaurant, hospitality, and entertainment scene
