About The Role

The Valentina Group Agency (TVGA) is a Melbourne-based creative agency that has been shaping Australia’s hallmark major events industry for nearly three decades, through unique and curated brand activations and experiences. We bring to life brands and deliver projects from conception, strategy, creative concept execution through to onsite management. Our projects span large-scale and premium hospitality and entertainment destinations, fashion runways, and bespoke and immersive activations for high-end local and global brands.

We are looking for a Project Manager to lead the end-to-end delivery of projects – from initial brief, execution and management and through to post-event reporting.

This role sits at the centre of each project, connecting client, creative, and production. It suits someone who can see the bigger picture whilst having their eye on the detail– ensuring projects are delivered seamlessly through excellent communications, commercial viability and to the high-quality standard that reflects TVGA’s positioning in the industry.

This role contributes directly to the quality of delivery, strength of client relationships, expansion of scope and ongoing and overall growth of the business.

The right person builds trust quickly, manages complexity with clarity and calm deliberation, and ensures every moving part of a project is aligned – from concept through to execution.

What You’ll Do

  • Lead the end-to-end delivery of projects successfully – from brief, concept development, budgeting and planning through to execution and onsite management with post-event reporting
  • Manage client relationships day-to-day, acting as the key point of contact and ensuring clear, consistent communication to build relationships
  • Translate client briefs into creative and clear project plans, timelines, and deliverables
  • Develop, track, and manage project budgets, ensuring commercial targets and margins are met
  • Coordinate internal teams and external suppliers to ensure seamless logistics and delivery across all project stages
  • Provide direction and manage junior team members to ensure tasks are delivered to standard
  • Oversee production and logistics, ensuring all elements are feasible and delivered to standard
  • Identify risks, resolve issues proactively, and manage changes as projects evolve
  • Present key documentation to clients, lead WIP meetings, maintain project documentation, and ensure all stakeholders are aligned at every stage
  • Collaborate with the creative team to ensure concepts are delivered successfully, within budget, on schedule and build constraints
  • Contribute to new business pitches, including creative, scoping, budgeting, and delivery planning
  • Deliver post-project reporting and insights, ensuring learnings are captured and applied

What We Are Looking For

Essential skills

  • 5+ years’ experience in event, activation, experiential, or project management industry
  • Strong experience managing multiple projects end-to-end and simultaneously
  • Proven ability to manage budgets, suppliers, and timelines with efficiently and with accuracy
  • Confident and consistent client management and communication skills
  • Strong organisational skills with the ability to manage complexity and competing priorities
  • A high level of attention and retention of detail and expert in logistics management
  • Commercial awareness – understanding how projects are scoped, priced, and delivered profitably

Nice to have

  • Experience working on large-scale events or major event environments
  • Exposure to creative or design-led project environments
  • Experience in hospitality
  • Experience contributing to pitches and new business development

Working Environment & Expectations

Attendance & location

  • This is a full-time, office-based role at our Prahran address.
  • Punctuality and attendance are always expected.
  • Work will periodically extend to offsite venues, evening, and weekend hours during project delivery – particularly around major events including the Australian Open, Formula 1 Grand Prix, Spring Racing Carnival and Melbourne Fashion Festival.

Communication

  • Respond to emails and calls in a timely manner, typically within the same business day and no later than 24 hours
  • Maintain clear and consistent communication across all clients, stakeholders and suppliers
  • Keep project teams informed of progress, flagging risks or delays early
  • Lead and contribute to creative and planning meetings, WIP meetings and internal reviews

  • Conduct yourself professionally in all interactions – with clients, suppliers, and the broader team at all times
  • All TVGA creative materials, client briefs, concepts, proprietary documents and all communications are strictly confidential and must not be shared without prior approval from the Director
