We're a small, ambitious inbound travel team in Tokyo, designing high-end trips through Japan for travellers who want something more than a luxury hotel and a guidebook. We work in close collaboration with our clients, and our planners are the engine of the experience: this is where the magic happens.

We're looking for a Senior Travel Planner to take ownership of the planning function alongside the team, as our current planner steps into maternity leave in July.

About the role

You'll own the planning of trips after the sales phase. That means turning an agreed route and hotel direction into a complete, beautifully crafted itinerary — restaurants, transport, activities, sightseeing — and being the main point of contact for the client throughout that planning phase. When the trip is fully built, you hand it off to our booking team for execution and on-trip support.

Concretely, your week looks like:

  • Detailed itinerary design in Safari Portal
  • Calls and email exchanges with clients to align on the trip day-by-day (think: a focused two-hour call walking a couple through their two weeks in Japan)
  • Working with our supplier and experience network to add the moments that turn a good trip into a memorable one
  • Collaborating tightly with sales on the front end and booking on the back end
  • Contributing to our growing knowledge base, supplier relationships, and process improvements

This is a senior, account-management-heavy role. You're the trusted hand a client relies on between booking and arrival. It's also a role with rhythm and repetition built in — the craft is in the consistency.

Who we think you are

  • 3+ years in travel planning, hospitality, or high-touch account management — ideally with high-end or luxury clientele
  • Solid working knowledge of Japan as a travel destination — hotels, regions, the rhythm of how a trip flows
  • Comfortable being the steady, accountable person in a client relationship
  • Detail-driven by nature, not by force
  • Strong written and spoken English; Japanese is a meaningful plus but not required for the role itself
  • Based in Japan with valid working status
  • Looking to build something — not pass through on the way to something else

We're a startup, so a level of comfort with imperfect processes and a willingness to help shape them is part of the deal.
