About the role:

The Coffee Operations Executive will be responsible for managing end-to-end operational execution across Subko’s coffee business, ensuring seamless coordination between procurement, roasting, packaging, fulfilment, third-party manufacturing, and sales channels. This role plays a critical part in enabling scale, improving service levels, maintaining inventory health, and supporting new product

launches while ensuring operational excellence across B2C, B2B, cafés, and quick-commerce.

Roles & Responsibilities:

1. Supply Chain & Inventory Management

  • Ensure availability of all packaging materials and third-party manufactured

items in line with production and sales requirements.

  • Maintain optimal buffer stock across SKUs to support business continuity and

reduce fulfilment TAT.

  • Monitor inventory levels across warehouses, roastery, and retail channels to

minimise stock-outs and overstocking.

  • Align closely with the Coffee Procurement team to plan green bean inwarding

based on roasting schedules and sales forecasts.

2. Third-Party Manufacturing & Production Planning

  • Coordinate with third-party manufacturers for Raw material readiness,

Production planning and scheduling, Dispatch timelines, Quarterly demand

forecasting

  • Ensure adherence to quality standards, delivery timelines, and commercial

terms.

  • Act as the primary point of accountability for third-party production

performance.

3. Coffee Order Fulfilment & Channel Operations

  • Ensure timely and accurate fulfilment of orders across B2C (D2C / Shopify),

B2B (corporate, gifting, wholesale), Cafe supply, Quick-commerce partners

  • Maintain defined SLAs for dispatch, delivery, and order accuracy.
  • Identify and eliminate operational bottlenecks impacting turnaround time and

service levels.

4. Roastery & Internal Stakeholder Coordination

  • Work closely with the Roastery team to Plan production cycles, Maintain

buffer inventory, Reduce order fulfilment TAT

  • Partner with Design, Procurement, Marketing, and Category teams to ensure

seamless execution of new coffee launches, including packaging readiness,

timelines, and inventory go-live.

5. E-Commerce & Catalogue Management

  • Own Shopify catalogue operations, ensuring Product listings are accurate and

up to date, Pricing is correctly reflected, Inventory sync is real-time and

error-free

  • Collaborate with tech, marketing, and fulfilment teams to resolve

discrepancies quickly and maintain customer experience.

6. Forecasting, Planning & Reporting

  • Build monthly and quarterly demand forecasts in collaboration with Sales,

Marketing, and Procurement.

  • Track KPIs such as:

Fulfilment TAT

Order accuracy

Inventory turnover

Stock-out rates

Vendor performance

  • Prepare operational dashboards and business updates for leadership reviews.

7. Process Excellence & Scale Enablement

  • Design and implement SOPs for order processing, inventory handling,

third-party manufacturing, and fulfilment.

  • Identify automation, tooling, or process improvements to support scale.
  • Ensure operational readiness for new city launches, channel expansion, and

product introductions.
