Role Overview:

Uptic Studios is seeking an Operations Manager to actively lead the business operations of our 12-person architecture and design firm. We are looking for a dependable, service-oriented professional who thrives on organization, problem-solving, and supporting people.

As the Operations Manager, you will actively manage finance, human resources, and day-to-day operations so our designers and architects can focus on creating exceptional work. You will work closely with firm leadership and play a key role in maintaining a healthy culture, supporting team members, and ensuring the long-term success of the business.

Responsibilities:

Financial Operations

  • Manage all client invoicing and accounts receivable
  • Process all accounts payable and consultant, vendor, and bill payments
  • Monitor cash flow and support financial planning
  • Complete and present monthly financial reporting and forecasting to leadership
  • Coordinate with external bookkeeping and tax professionals to ensure timely and accurate filings
  • Assist leadership with budgeting, financial analysis, and operational decision-making
  • Maintain accurate financial records and internal reporting systems

Human Resources & Team Support

  • Lead hiring coordination and employee onboarding/offboarding
  • Administer monthly payroll and coordinate employee benefits
  • Ensure compliance with employment regulations and company policies
  • Support company culture initiatives and team events

Studio Operations

  • Manage daily office operations
  • Serve as the primary point of contact for IT technicians, facility vendors, and office service providers
  • Coordinate office maintenance, equipment, supplies, and workspace needs

Qualifications & Experience

  • Bachelor's degree in Business, Finance, Accounting, Human Resources, or related field preferred
  • 3–7+ years of experience in operations, business management, HR, finance, or a related role
  • Experience managing accounting processes, financial reporting, budgeting, or bookkeeping functions
  • Experience administering payroll, benefits, and HR processes
  • Strong organizational skills and exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and work independently
  • High degree of professionalism, discretion, and sound judgment
  • Proficiency with Microsoft Office Suite, QuickBooks Online, payroll systems, and business software platforms
  • Experience in architecture, engineering, design, consulting, or other professional service firms is a plus
