About the role:

The Counter Extremism Project (CEP) is searching for an energetic, adaptable, and hardworking individual to serve as a Special Assistant. This position will also service CEP’s sister organization, United Against Nuclear Iran (UANI). CEP is a 501(c)(3) non-profit organization which works to combat extremist groups and ideologies by pressuring financial support networks, countering the narrative of extremists and their online recruitment, and advocating for strong laws, policies, and regulations. UANI is a 501(c)(3) nonprofit and non-partisan policy organization formed to combat the threats posed by the Islamic Republic of Iran.

The Special Assistant serves as the main operational liaison between CEP's and UANI's executive(s), board members, stakeholders, staff members, and other collaborators. The Special Assistant ensures that CEP's and UANI's executives’ calendar is effectively managed, balancing multiple time zones, international and domestic travel, high-volume meetings, and diverse priorities across 15+ team members in a fast-paced environment. The Special Assistant also serves as a diligent problem-solver, capable of managing high-pressure and time-sensitive projects.

Main tasks and responsibilities:

  • Calendar management: run minute-by-minute scheduling and logistics for CEP's and UANI's CEO, a high-volume executive, coordinating overlapping domestic and international travel, meetings, and external engagements.

  • Travel coordination: book domestic and international travel on a weekly basis. Manage complex travel arrangements including, but not limited to, lodging, air travel, transportation, detailed itineraries, and other relevant logistics.

  • Priority tracking: track ongoing projects, ensure items do not get delayed, ensure follow-ups, and maintain priorities on schedule.

  • Social media management: lead social media management for CEP's and UANI's CEO, especially on X. Draft, proofread, and publish content in a timely manner.

  • Email and communication oversight: direct communication across institutional email accounts, ensuring timely responses and appropriate interactions with high-level stakeholders, board-level leadership, collaborators, and staff. Serve as a liaison between executives and external partners. Serve as point of contact for primary communications. Communicate with professionalism and awareness.

  • Financial administration: prepare monthly financial reports. Oversee and prepare budgeting for major events. Process incoming payments as needed.

  • Event planning: serve as key contributor to large-scale events ranging from 50-2,000 attendees. Assist in the coordination of, including but not limited to, large hotel room blocks, catering services, transportation services, venue logistics, invitation distribution, RSVP tracking, and program execution.

  • Problem solving: craft timely and workable solutions for last-minute conflicts.

  • Miscellaneous tasks: handle incoming mail. Interview, hire, and onboard interns. Assist in preparing organizational reports. Answer and place phone call conversations on behalf of the organization(s).

Candidate requirements and skills:

  • Bachelor’s degree in Business Administration, Management, Political Science, and/or a related field is required.

  • Graduate-level degree in related field is preferred.

  • Preferred but not required: 3-5 years of C-Suite executive assistant and/or operational experience.

  • High discretion and confidentiality.

  • Problem-solving mentality and strong attention to detail.

  • Expectation of flexibility and responsiveness, including outside standard business hours.

  • Excellent writing skills.

  • Proficiency with technology tools: Google Workspace, Microsoft Office, Zoom, and/or other platforms.

  • Based in New York City.
